How We Use These Tools
Vivian uses Ashby's All-in-One (AI-Assisted Application Review) tool to help us analyze candidate resumes and applications against defined criteria to indicate whether each candidate meets or does not meet the specified qualifications. The tool does not score or rank candidates. Our recruiters review all AI-generated results and make the final determination on whether to advance or reject each candidate.
Ashby also enables us to use AI to assist with candidate search filtering, outreach email personalization, and interview feedback summarization. Ashby does not use candidate data to train its AI models.
Human Review
No candidate is rejected or advanced solely on the basis of an automated tool's output. A qualified member of our recruiting or hiring team reviews all outputs generated by these tools and has the authority to override any automated recommendation before a hiring decision is made.
Your Rights
Depending on your location, you may have one or more of the following rights in connection with our use of these tools:
- California applicants (CCPA/CPRA): You have the right to opt out of the use of automated decision-making technology in connection with your application and the right to access information about how automated tools were used in decisions about you. If you opt out, your application will be reviewed through an alternative process that does not rely on automated decision-making technology. Exercising these rights will not result in retaliation or any adverse treatment of your candidacy.
- California applicants (Fair Employment and Housing Act): You have the right to meaningful human review of any automated decision affecting your candidacy and to request a reasonable accommodation in the application process.
- Illinois applicants: Under the Illinois Human Rights Act (775 ILCS 5/2-102(L)), it is a civil rights violation for an employer to use artificial intelligence that has the effect of subjecting employees or applicants to discrimination on the basis of a protected class, including race, color, religion, sex, national origin, ancestry, age, disability, marital status, sexual orientation, military status, or any other characteristic protected under the Act. - Colorado applicants: If an AI-assisted decision results in an adverse outcome for your candidacy, you will receive a plain-language explanation of the role AI played in the decision, the categories of data the system considered, instructions on how to request correction of inaccurate personal data, and information on how to request human review and reconsideration of the decision.
